Position Summary

The Administrative Assistant is a vital member of our team, responsible for providing high-level administrative support to ensure the efficient operation of our practice. This role requires exceptional attention to detail, a proactive approach, and a commitment to upholding our core values in every interaction. The ideal candidate will be a consummate professional, capable of managing multiple priorities while maintaining a focus on delivering excellent service to our clients and advisors.

Responsibilities

  • Manage calendars, schedule client appointments, and coordinate meetings for financial advisors.
  • Prepare and organize client meeting materials, including reports, presentations, and required documentation.
  • Serve as a point of contact for client inquiries, handling requests with professionalism and care.
  • Maintain client records and data with precision and confidentiality in our CRM system.
  • Assist with the processing of paperwork and ensure all documentation adheres to compliance standards.
  • Perform general office duties, including managing correspondence, ordering supplies, and maintaining an organized office environment.
  • Support the team with special projects and initiatives as needed.

Must Haves

Essential requirements for this position

  • Minimum of 3 years of experience as an Administrative Assistant, preferably within the financial services or wealth management sector.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Exceptional organizational, time-management, and multitasking skills.
  • Demonstrated ability to handle confidential information with the utmost discretion and integrity.
  • Excellent written and verbal communication skills with a professional and courteous demeanor.

  • Bachelor's degree in a relevant field.
